Privacy Policy

This page explains what personal data we collect through merahrms.com, why, who we share it with, and the choices you have. Last updated: 24 October 2026.

1. Who we are

This website is run by MeraHRMS ("MeraHRMS", "we", "us"), a business based in India. For the personal data described in this policy, we decide why and how it is used. To contact us about privacy, use the contact form and start your message with "Privacy request". If you have no company, enter "Individual" in the company box.

2. What this policy covers

It covers the public website at merahrms.com, including the free calculators. It does not cover the MeraHRMS software that businesses use to manage their staff. When a company uses MeraHRMS for its employees, that company decides what employee data is entered and why, and we handle that data for them under our agreement with them. If you are an employee and have a question about your data in the software, please ask your employer first.

3. What we collect

  • When you send the enquiry form: your name, business email, company name and your message. We also record whether you ticked the optional box to receive marketing emails, and when.
  • Technical information: our servers and hosting provider may record standard details such as your IP address, browser type and the pages requested, for security and troubleshooting.
  • The free calculators (gratuity, HRA, salary hike) run in your browser. The numbers you type into them are not sent to us.
  • Cookies and browser storage: see our Cookie Policy.

We do not ask for, and you should not send us, sensitive information such as passwords, bank details or government ID numbers through the form.

4. Why we use your data

  • To reply to your enquiry or demo request. This is the reason you gave us the data.
  • To send you updates, promotions and personalised offers by email, only if you ticked the box and only for as long as you have not withdrawn your agreement.
  • To keep the website secure and prevent spam and abuse (for example, limiting how often the form can be submitted).
  • To meet legal obligations and to establish or defend legal claims.

5. Marketing emails

The marketing box on the form is optional and is not ticked by default. Leaving it unticked does not affect your enquiry. We will only send marketing email to people who agreed to it. You can unsubscribe at any time by replying to any marketing email we send you, or by using the contact form and writing "Unsubscribe". We will stop promptly.

6. Who we share data with

We do not sell your personal data. We share it only with providers that help us run the website and handle enquiries:

  • Email delivery: your enquiry is sent to us as an email through Google's mail servers.
  • Hosting: the servers that run the website and store enquiries are operated by us or by a hosting provider on our behalf.
  • Google Fonts: the website's text fonts are loaded from Google. Your browser contacts Google to fetch them, which shares your IP address and browser details with Google.

We may also disclose data when the law requires it or to protect our rights.

7. Where data is stored

Enquiries are stored on the servers that run the website. Some providers, such as Google, may process data in other countries.

8. How long we keep it

We keep enquiry details only for as long as we need them to respond to you and for our records, and we delete them when you ask us to, unless the law requires us to keep them. If you agreed to marketing email, we keep a record of that agreement for as long as we email you and afterwards as proof of it.

9. How we protect it

We use reasonable security safeguards, including limiting who can read enquiries to authorised staff. No method of storage or transmission is completely secure, so we cannot guarantee absolute security.

10. Your rights

Under India's Digital Personal Data Protection Act, 2023 and other applicable law, you may be able to:

  • ask for a summary of the personal data we hold about you;
  • ask us to correct or update it;
  • ask us to erase it;
  • withdraw your agreement to marketing email at any time;
  • nominate another person to exercise these rights if you die or cannot act for yourself; and
  • complain to us about how your data is handled (see section 11).

To use any of these rights, use the contact form and start your message with "Privacy request". We may need to confirm who you are first.

11. Complaints

If you have a complaint about how we handle your personal data, use the contact form and start your message with "Privacy complaint". We will acknowledge it and respond within a reasonable time. When the business is formally registered, we will name a grievance officer on this page.

12. Children

This website is meant for businesses. It is not directed at anyone under 18, and we do not knowingly collect their personal data.

13. Changes to this policy

We may update this policy. The date at the top shows when it last changed. If a change is significant, we will say so on the website.
